CIMPL Privacy Commitment

As an IT company specializing in asset, inventory and expense management for enterprise customers, CIMPL Inc. (or we) understands the importance of safeguarding and securely processing information (e.g., data), including personal information, it receives from its customers, end-users and/or third parties (as authorized by you and/or our customers). In keeping with these goals, including those of privacy and confidentiality, CIMPL has created this Privacy Policy to inform you, our customers and third parties of our practices for the collection, use, disclosure, transfer, retention and protection of data. 

Please take the opportunity to familiarize yourself with our Privacy Policy and our privacy practices and let us know if you have any questions, using the contact information found below.

This Privacy Policy applies to our websites, web-portals, blogs (“Site(s)”), our software platform (“Platform”), applications, including mobile applications (collectively referred to as “Application(s)”), and other associated services (“Services”) that we provide to our customers as specified in various Agreement(s) between CIMPL and its customers, as well as third parties (as may be required).  It further applies to information transferred by you, customers and/or third parties to us and subsequently processed by CIMPL for purposes of processing, analytics and/or metrics. The Privacy Policy does not apply to the practices of companies that CIMPL does not own or control, or to individuals whom CIMPL does not employ or manage, including any Third Parties to which CIMPL may disclose information as set forth in this Privacy Policy. CIMPL strongly encourages you to check the Privacy Policies and Terms of Use of any non-CIMPL Site(s), Application(s), Platform and/or Services before providing your personal information to them. 


What Data does CIMPL collect, receive use and retain

Upon receipt of consent and authorizations from its customers and/or you (as applicable), CIMPL generally receives two types of information: (i) personal information (such as: information which relates to a person and allows him or her to be identified), and (ii) non-personal information (such as information that does not reveal the specific identity or does not directly relate to a person). The type of information CIMPL collects, receives, processes, uses and/or retains depends on the nature of the interaction between CIMPL and its customers, including yourself (as applicable). This information is being collected in different ways, including: (1) information the customer gives us in the regular course of business; and (2) other information CIMPL collects from its customers, you and/or third parties that may use CIMPL’s Sites, Application(s), Platform and/or Services.

For the performance of CIMPL’s contractual obligations to its customers, CIMPL collects, receives, processes, uses and retains personal information related to individuals from its customers, you and/or third parties, such as: 

  1. information our customers provide us;
  2. contact information (such as: name, title, corporate address, corporate e-mail address);
  3. telephone number;
  4. mobile device identifier information (such as: mobile model number, hardware model, operating system version,          mobile network information as well as other unique device identifiers);
  5. mobile subscriber ID;
  6. mobile network code;
  7. customer assets and/or inventory assigned to a person;
  8. personal preferences (such as: language preferences, and marketing consent, if applicable);
  9. push notification name; as well as
  10. transactional information, such as: voice and data usage logs, network log information, invoices, cost centers, geo-location information, purchase order details, charges, ticket details, call detail records associated with devices, services and networks to which our customers may subscribe to.

Non-personal information that CIMPL collects, processes, uses and/or retains may include but is not limited to non-identifiable business account numbers (BANs), mobile colour, operating system, size, weight, memory (RAM), telecommunications pricing plans or contracts, as well as customer asset(s) and inventory. CIMPL may also collect certain non-personal data via third party services or programs, such as Google® Analytics, when a person visits, accesses or uses our Site(s), Application(s), Platform and/or Services. Examples of aggregate information include, but are not limited, to demographics, domain names, and website traffic. Statistical or aggregated information does not directly identify a specific person, but it may be derived from personal information. 

Users visiting, accessing or using CIMPL’s Sites, Application(s), Platform and/or Services can visit sites without providing personal information; however, computers connected to the Internet contain information such as Internet Protocol (IP) addresses and domain name, which may identify the computer and network attempting to access CIMPL Site(s), Application(s), Platform and/or Services. This information can be collected and stored for tracking and monitoring purposes (such as: “Cookies”).  

CIMPL’s Site(s) may also be browsed anonymously. However, to engage, access, use or view information of our Site(s), through a web-browser or mobile device, you may be asked to register and provide certain personal information, such as your name, email address, postal address and/or telephone number. CIMPL uses this information to cater the content to your preferences, contact and correspond with you, as well as respond to your inquiries, if any. CIMPL’s Application(s) cannot be browsed anonymously. In addition, you consent to the collection and use of the following:

I. Cookies and Anonymous Identifiers

Cookies are small piece of data sent from a website and stored in a user’s web browser while the user is browsing that website. Every time you load one of our Sites, the browser sends the cookie back to the server to notify the website of the user’s previous activity. Like many websites, CIMPL may use cookies (such as: session and/or persistent cookies) and anonymous identifiers to improve your on-line experience and to allow CIMPL to better provide support to its Site visitors. By using cookies, CIMPL may track the total number of visitors on its websites on an anonymous aggregate basis. CIMPL may also employ cookies so that CIMPL can remember you when you return to the website, to keep track of the items you have requested from CIMPL and help CIMPL customize your web experience on return visits to the CIMPL websites. It is possible that CIMPL associates personal information with a cookie file in those instances. Please note that it is possible for you to configure the options in your web browser to not receive a cookie or to obtain a prior notification of receipt of a cookie. Reference can be made to the “Help” section of your browser to learn how to change your cookie preferences. However, if you disable all cookies, you may not be able to take advantage of all the features or functionalities of CIMPL’s Site(s), Application(s), Platform and Services. You can also reset your web browser to refuse all cookies or to indicate when a cookie is being sent. However, the Site(s), Application(s), Platform and Services may not function properly if the ability to accept cookies is disabled and CIMPL shall not be responsible for your inability to use parts of the Site(s), Application(s), Platform and associated Services.

II. Website Tracking Information

CIMPL may use web beacons or pixel tags to compile tracking information reports regarding Site(s), Application(s) or Platform user demographics, web site traffic patterns and the like. CIMPL may then use this information to generate reports. None of the tracking information in these reports can be connected to the identities or other personal information with personal information of individual users. For our own research purposes, CIMPL may link tracking information with personal information voluntarily provided by website users. Once such a link is made, all of the linked information is treated as personal information and will be used and disclosed only in accordance with this Privacy Policy.

III. Log File Information

CIMPL’s servers may automatically record certain information that your web browser sends whenever you visit any website (such as: server logs). These server logs may include information, such as your web request, IP address, browser type, browser language, referring / exit pages and URL’s, platform type, number of clicks, domain names, landing pages, pages viewed and the order of those pages, the amount of time spent on particular pages, the date and time of your request, one or more cookies that may uniquely identify your browser, and your phone number. By using CIMPL services, our servers log certain general information that our Site(s), Application(s) or Platform sends whenever a message is sent or received, as well as mobile device information.

IV. Location Information

Customers, you, and/or third parties (as authorized by you or our Customers) may provide CIMPL location information, we may collect and process information about your actual location, like GPS signals sent by a mobile device, Bluetooth, IP address, Wi-Fi hotspots and cell tower locations. We may use various technologies to determine location, such as a sensor data from your device that may, for example, provide information on nearby Wi-Fi access points and mobile phone (such as: cell towers). Unless consent is provided, this location data is collected anonymously in a form that does not personally identify you and is used by CIMPL to provide and improve location-based products and/or services. It should be noted that you may enter into the location service settings (as applicable) of your device and/or computer to turn on or off geographic location settings. 

V. Online Forums (blogs) and Customer Reviews

Certain pages of our Site(s) facilitate interactive discussions between users and/or CIMPL Customers and CIMPL staff or agents acting on our behalf regarding our Site(s), Application(s), Platform and Services. These blogs can be tweeted and/or shared with others via social media (such as: LinkedIN®, Twitter®, Facebook®, etc.).

VI. Sign-up for Newsletters, Updates or Product/Service Registrations

CIMPL offers a variety of newsletters, promotional and educational communications.  To receive any one of these communications, you must first consent to receiving these commercial electronic messages. You may unsubscribe from receiving these communications at any time. If by inadvertence, any limited marketing or promotional e-mail CIMPL is sent to you, it will include a link or other method to quickly and easily unsubscribe and decline further similar e-mails.

VII. Follow-ups and Surveys

CIMPL may send you a follow-up letter to thank you for your business, or CIMPL may contact you to ensure that you are completely satisfied with our Site(s), Application(s), Platform and/or Services. With your consent, CIMPL may use contact information collected on-line, or via our call center to conduct occasional surveys and other customer research. These surveys are entirely voluntary and you may easily decline to participate.

VIII. Email a friend

You may choose to use the “Email a Friend” tool which allows you to inform a friend about CIMPL’s products or services. The information you provide will be used to send a one-time e-mail to your friend, inviting them to CIMPL’s Site(s). CIMPL will not add your friend to a mailing list and will not send them further email(s) unless they choose to receive such communications from us. When using the “Email a Friend” tool you are contacting your friend directly and as such you agree and acknowledge that you are responsible for this correspondence and not CIMPL. If you provide us with personal information concerning another individual (such as: email address), you represent and warrant that you have obtained all necessary consents from that individual to enable us to use that personal information for the identified purpose.

IX. Call Centres

CIMPL operates a customer support centre to accept and address technical questions. CIMPL may also monitor or record your discussions with our customer support representative for training purposes and to ensure quality service.

IIX. Opting out

CIMPL allows you to opt-out of various communications, such as marketing, advertising or promotional e-mails. You can opt-out by automatically unsubscribing from e-mail communications.  Some other communications are not subject to opt-outs, such as communications related to product download, sales transactions, software updates or upgrades and other support related information, patches and fixes, conferences or events for which you have registered, disclosures to comply with legal requirements, and where permitted by law quality assurance surveys. Some additional communications with CIMPL partners, agents or resellers are also not subject to opt-out, including product alerts, updates, and other notices related to partner, agent or reseller status.

You may choose not to provide us with your personal information. However, if you make this choice CIMPL may not be able to provide you with access to CIMPL’s Application(s), Site(s), Platform, and Services, or information that you may request.

Supplementary Information

From time to time, CIMPL may supplement information you give us with information from other sources, such as information validating your address or other available information you have provided us. This is to help CIMPL maintain the accuracy of the information CIMPL collects and to help CIMPL provide better service.

Moreover, through links provided on our Application(s), Site(s), and/or Platform you can link to other web sites of third parties. Any personal information you provide on the linked pages is provided directly to that third party and is subject to that third party's privacy policy. Except as described above, we are not responsible for the content or privacy and security practices and policies of web sites to which we provide links. Links from our site to third parties or to other sites are provided for your convenience. We encourage you to learn about their privacy and security practices and policies before providing them with personal information.

How is your personal information used?

CIMPL collects, processes, uses and retains the above information for the purpose of matching expenses to transactions, asset and inventory management, and generating reports (such as: data analytics and metrics) on behalf of its Customers so as to allow them to more effectively manage their assets and inventory, as well as reduce costs. CIMPL may also collect and analyse information it receives in a non-personal, de-identified, aggregate format for research purposes and/or determine overall trends, statistics or metrics of an industry, and may report such general trends publicly without disclosing personal information. In such a case, the information may undergo a process of data anonymization, in which personally identifiable information is removed from data sets, so that the individuals whom the data describe remain anonymous.

CIMPL may also use personal information for a number of other business purposes, including but not limited to: (i) the fulfilment of orders, product downloads, licensing compliance and requests for products and/or services information; (ii) the management of expenses, assets and inventory; (iii) better understanding your product and service needs; (iv) the detection and protection against fraud and errors; (v) the establishment and management of your accounts with us and/or third parties; (vi) the tracking and confirmation of account activity, including but not limited to voice and data usage, as well as geo-location; (vii) the provision of communications regarding access, use, patches and updates regarding the Platform and Services; (viii) conduct research and analysis (such as data analytics), including but not limited to business analytics and intelligence; (ix) the operation, evaluation and improvement of our business and service offerings to our customers, as well as develop new services; (x) posting of testimonials (upon receipt of your consent), (xi) improve quality and facilitate use of channels; (xii) interacting with you on social networks, such as Facebook®, LinkedIN®, Twitter®, Google+®, YouTube® and media (upon receipt of your consent) that CIMPL uses; and (xiii) for other purposes as described in this Privacy Policy. If you are a member of a social media site, the interfaces may allow the social media site to connect your site visit to your personally identifiable information.

Restricted Disclosure to Third Parties

Except as indicated in this Privacy Policy, CIMPL does not sell, rent or otherwise transfer our customers’ personal information to any other party. However, in the ordinary course of business, CIMPL may share some of your personal information within our corporate family and/or third parties, which are contractually bound to CIMPL and also authorized by our customers or by you, or as permitted or required by the law. In this connection, certain aspects of our products and services may be provided to you in association with third parties, such as: CIMPL agents, partners or resellers, in which case you may be required to disclose Personal Information to them. If you elect to register for CIMPL products and/or Services through a partner or reseller, you may be providing your information to us and the third party, and will be subject to their privacy policies. In rare occasions, some of these operations may result in personal information collected by CIMPL being stored or processed outside of Canada and, as a result, your personal information may be accessible by law enforcement and regulatory authorities in accordance with the law of these foreign jurisdictions. CIMPL may also use third parties to manage one or more aspects of our business operations, including the processing or handling of personal information. When CIMPL uses external providers, CIMPL makes use of contractual or other appropriate means to ensure that your personal information is used in a manner consistent with this Privacy Policy. CIMPL may also share aggregated, non-personally identifiable information publicly and with our partners and/or Customers so as to show trends about the general use of our services and/or metrics. CIMPL may disclose your information as permitted or required by law. For example, CIMPL may be compelled to release information by a court of law or other person or entity with jurisdiction to compel production of such information. If CIMPL has reasonable grounds to believe information could be useful in the investigation of improper or unlawful activity in regards to CIMPL or any third party, or to protect CIMPL’s rights, CIMPL may disclose information to law enforcement agencies or other appropriate investigative bodies.

Data Protection and Cross Border Data Transfers

CIMPL adopts security safeguards that protect personal information against loss or theft, as well as unauthorized access, disclosure, copying, use, or modification. More particularly, CIMPL restricts access to personal information to CIMPL employees and agents who “need to know” that personal information in order to operate, develop or improve our Site(s), Application(s), Platform and Services. CIMPL uses commercially reasonable efforts to protect against the loss, misuse, unauthorized access, disclosure, alteration and destruction of personal information under our control, and which includes compliance with confidentiality and non-disclosure provisions set forth in agreements between CIMPL and its customers, as well as third parties. For example, electronic records are stored in secure, limited-access servers located in secure data centres. CIMPL also employs technological tools like firewalls, and passwords, as well as ensures that its employees are trained on the importance of maintaining the security and confidentiality of personal information. Not only is personal information stored in secure databases requiring unique login ID’s and passwords to access information, but sensitive data is encrypted using a security protocol called SSL (Secure Sockets Layer) when it is in transit. Monitoring and security tools are utilized to ensure application, data and network integrity.

In addition, considering the fact that data may flow through several jurisdictions, CIMPL has developed data practices to ensure that your personal information is appropriately protected. Please note that your personal information may be transferred, accessed and stored globally as necessary for the uses stated in accordance with this Privacy Policy. In this connection, you consent to the transfer of information to and from countries outside of your country of residence, which may have different data protection rules than those of your country.  Similarly, it is most likely possible that customers, based in foreign jurisdictions outside of Canada, may transfer information onto CIMPL’s Platform, which is located in the Province of Québec.

Risks associated with the Internet or Wireless Data Transmission

Despite CIMPL’s best efforts to ensure third parties will not access or obtain personal information through the Site(s), Application(s), Platform or Services, complete confidentiality and security cannot be guaranteed on the Internet and/or where data is transferred via wireless digital technology of any type. Communication in this manner is subject to interception, loss or alteration. You acknowledge and agree that CIMPL cannot be held responsible for any losses or damages resulting from the transmission of personal information in this manner and that such communications are at your own risk.

How long does CIMPL retain your personal information

Personal information is retained only for so long as is necessary for the purposes set out in this Privacy Policy and as per our contractual obligations with our customers. When no longer required, CIMPL shall destroy, erase or de-personalize the information. Legal requirements may necessitate our retaining some or all of the personal information we hold for a period of time that is longer than we might otherwise hold it. However, CIMPL shall restrict access to such information to prevent it from being used except for fulfilment of these legal requirements.


To ensure that the personal information is accurate, complete and up-to-date, CIMPL suggests that customers, you and/or third parties (as authorized by you or our customers) provide us with updated information, as may be required from time to time.


CIMPL may conduct periodic audits to ensure that customer data, including data provided by our customers, you and/or third parties (as authorized by you or our Customers), is maintained in a manner consistent with this Privacy Policy. CIMPL will use commercially reasonable efforts to correct any deficiencies identified by an auditor to ensure continued compliance with this Privacy Policy. CIMPL further requires its users, including customers, to: (i) comply with all applicable laws, rules, regulations and guidelines relating to privacy and data collection, (ii) obtain any necessary consents from its users, (iii) comply with the law, including the transfer of personal information, and (iv) post an online privacy policy that provides each visitor with clear notice of its practices regarding data collection, processing, transfer, use, and disclosure.

Your consent

CIMPL will collect, use or disclose your personal information only with your knowledge and consent or as it may be further provided by the customer, except where required or permitted by law. When you choose to provide us with your personal information you consent to the use of your personal information as identified in this Privacy Policy and may be further identified at the time of collection. Consent may be withdrawn at any time, subject to legal or contractual restrictions with our customers and reasonable notice. 

Further note, that posts or comments you make on CIMPL Site(s) may be visible to other users of the same. Your posts will form part of the public domain and can be globally viewed by any one around the World. Currently, CIMPL has no method of providing different levels of visibility among users, and as such you acknowledge and agree that any posts or comments you make may be globally viewed by other users; so don’t post messages, comments or profile photos that you don’t want to be to be seen globally. You understand that CIMPL cannot guarantee any confidentiality with respect to any of these submissions.

How can you verify your information?

Customers and/or persons (as applicable) may check their information to verify, update, or correct it. If you created an account on one of CIMPL’s Sites, Application(s), Platform and/or Services, you can access and change your online account profile yourself. Alternatively, you can ask CIMPL to review any of the information that we have retained, how we have used it, and to whom we have disclosed it at any time by contacting us as indicated below under the heading “Contacting CIMPL”. Subject to certain exceptions prescribed by law, as well as contractual obligations to CIMPL’s customers and provided CIMPL can authenticate your identity, you will be given reasonable access to your personal information, and will able to review the accuracy and completeness of the information and to have it rectified as appropriate.

Pursuant to its contractual obligations with Customers, CIMPL may respond to your request or investigate your concern as quickly as we can, but no later than thirty (30) days from the date of receipt of your query. Please note that email sent over the Internet is not secure. CIMPL strongly recommends that you do not send sensitive information to CIMPL via unencrypted email. CIMPL is not responsible for any transmission by you of any personal information over the Internet. Who is CIMPL?

CIMPL is privately owned company, duly incorporated under the laws of Canada, and is headquartered in Montreal, Quebec, Canada. Visit our website at: www.CIMPL.com. If you are accessing or using the Site(s), Application(s), Platform and Services from any foreign jurisdiction to the Province of Québec, Canada (e.g., the United States, European Union, Asia, etc.), please be advised that through your continued use of our Site(s), Application(s), Platform and Services, you are transferring your personal information to Canada and you expressly consent to that transfer and consent to be governed by the laws of the Province of Québec for these purposes and/or the laws of Canada, as they may apply.

In the event of Merger, Sale or Bankruptcy

In the event that CIMPL is acquired by or merged with a third party entity, CIMPL reserves the right to transfer or assign the information CIMPL has collected from our Customers, you and/or Third Parties (as authorized by you or our Customers) as part of such merger, acquisition, sale, or other change of control. In the event of bankruptcy, insolvency, reorganization, receivership, or assignment for the benefit of creditors, or the application of laws or equitable principles affecting creditors’ rights generally, CIMPL may not be able to control how your personal information is treated, transferred or used.

Compliance and Cooperation with Regulatory Authorities

CIMPL must comply with Canadian Federal and Provincial Privacy laws. If CIMPL were to receive formal written requests or complaints, CIMPL will contact the person who made the complaint to follow up. CIMPL works with the appropriate regulatory authorities, including local data protection authorities, to resolve any requests or complaints regarding data that we cannot resolve with you, Customers and/or Third Parties, directly. CIMPL shall share personal information with law enforcement officials, governmental agencies, or other legal authorities: (i) in response to their request; (ii) when permitted or required by law; (iii) to establish our compliance with applicable laws, rules, regulations or guidelines; or (iv) to establish, protect or exercise our legal rights or defend against legal claims or demands.

Will this Privacy Policy Change?

To accommodate changes in our services, changes in technologies, and legal developments, this Private Policy may change over time without notice to you. CIMPL reserves the right to add, change, or remove portions of the Privacy Policy when CIMPL feels it appropriate to do so. CIMPL encourages you to review our Privacy Policy periodically. Each time you submit personal information or use our services you agree to be bound by the then current terms of the Privacy Policy. Whenever CIMPL updates the Privacy Policy CIMPL will change the date to indicate when the changes were made.
